The conference registration fees cover attendance at any sessions in the conference, morning and afternoon refreshments, buffet lunch and all conference documentation. The organisers have been keen to keep registration fees as low as possible, and to provide scholarships and reduced fees to encourage diversity and inclusivity of participation.
Registration fees do not cover accommodation or evening meals on campus. These should be booked in addition to the registration fee through the online registration process.

Notes:
*Reduced rates are available for the following specific categories of people, and are at the discretion of the organising committee:
- Students (Postgraduate or undergraduate students must submit evidence that they are full- or part-time students at a recognised university)
- Exceptional cases may also be considered for those who wish to attend and cannot afford the full conference rate. These might include:
- Representatives of Civil Society Organisations (including Non-Governmental Organisations)
- People who are unwaged or on low incomes
- People from countries ranked below 100th on the latest Human Development Index available on 1st June 2010
In all such instances, applications for exceptional treatment at a reduced rate must be made in writing as part of the registration process, outlining why they should be treated as such, and it is up to the discretion of the organising committee whether or not they will be accepted.
**Through the generosity of sponsors, scholarships are available for some participants. Applicants wishing to apply for scholarships had to do so on the appropriate form which needed to be submitted by 15th August 2010. Eligible candidates had to fulfill at least one of the following criteria:
- Have had a paper accepted, or be a speaker in an accepted session (including posters, workshops and demos) at the conference.
- Be from a country ranked below 100th on the latest Human Development Index (as at 1st June 2010)
- Be studying for a postgraduate degree
- Be on a low income (if applying on these grounds, the most recent payslip must be attached as proof of income)
Visa Arrangements
All those attending the conference from overseas should check the visa requirements well in advance. For those requiring visas, we strongly recommend that this process is begun by mid-October 2010 at the latest. The UK Border Agency provides a step-by-step guide to applying for a visa.
The best way to ensure satisfactory compliance with the UK regulations is to apply as a business visitor. This is the category for those “attending meetings, including interviews that have been arranged before coming to the United Kingdom, or conferences“. To apply as a business visitor, participants need to complete a VAF1C Business visa application form.
Those requiring a letter of support must indicate this on their registration forms, where they should also provide details of their passport number and nationality.
With respect to the conference registration process, if payment is made and a visa is not granted, we will offer a full refund up to 23rd September. We will also seek to review all registrations after this date in cases where visas are not granted, until the deadline for registrations. Nevertheless, we strongly urge all participants to apply for visas as soon as possible.
